ZWORKSPACE INC. PRIVACY POLICY

This Privacy Policy explains how ZworkSpace Inc. ("ZworkSpace," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with our coworking space, virtual office and mail services, private offices, desk memberships, conference room bookings, websites, member web portal, mobile applications, communications, and related services (collectively, the "Services").
1. INFORMATION WE COLLECT
We may collect the following categories of information:
- Contact and identity information, such as your name, email address, telephone number, mailing or business address, company name, job title, and authorized company contacts.
- Account and membership information, such as login details, membership type, subscription status, start and end dates, contracts, preferences, and membership benefits.
- Billing and transaction information, such as billing address, invoices, payment status, transaction history, discounts, credits, refunds, and limited payment-card details supplied by our payment processor, such as card brand and last four digits. ZworkSpace does not directly store complete payment-card numbers.
- Booking and facility-use information, such as conference room reservations, cancellations, access records, visitor information, check-in activity, and use of workspace resources.
- Virtual office and mail-service information, such as records relating to the receipt, storage, pickup, forwarding, or disposition of mail and packages and the names of intended recipients or authorized representatives.
- Communications, such as emails, support requests, feedback, survey responses, and records of conversations relating to our Services.
- Device and usage information, such as IP address, browser and device type, operating system, pages or features used, dates and times of access, cookies, and diagnostic information.
- Video surveillance information. For safety, security, loss prevention, access control, and incident investigation, we operate security cameras in indoor and outdoor common areas and around the premises. Cameras may capture images of members, guests, employees, vendors, vehicles, and other persons entering, leaving, or using the premises. Cameras are not intended for areas where individuals reasonably expect privacy.
We collect information directly from you, from a company or administrator that enrolls or authorizes you, automatically through our websites and platforms, through our security and access systems, and from service providers that support our operations.
2. HOW WE USE INFORMATION
We may use personal information to:
- create and manage accounts, memberships, subscriptions, and company profiles;
- provide private office, desk, virtual office, mail, conference room, visitor, and related services;
- process bookings, payments, invoices, credits, discounts, cancellations, and refunds;
- communicate about reservations, billing, renewals, service updates, mail or package arrivals, support requests, and emergencies;
- verify identity, authority, eligibility, or account access;
- maintain building safety and security, control access, prevent theft or misuse, investigate incidents, and protect people and property;
- administer contracts and enforce our Terms of Use, membership agreements, and other policies;
- maintain, troubleshoot, secure, analyze, and improve our Services;
- comply with legal, tax, accounting, regulatory, and law-enforcement obligations;
- send marketing communications when permitted by law. You may opt out of promotional emails using the unsubscribe link or by contacting us. Service, billing, security, and account messages are not promotional and may still be sent.
3. VIDEO SURVEILLANCE
ZworkSpace uses indoor and outdoor security cameras for legitimate business and security purposes. Access to recordings is limited to authorized persons and service providers with a business need. Recordings may be reviewed or disclosed when reasonably necessary to investigate an incident, protect people or property, respond to a legal request, handle an insurance claim, or comply with law. Recordings are retained only as long as reasonably necessary for these purposes, subject to system capacity, legal requirements, litigation holds, and incident preservation needs.
4. HOW WE DISCLOSE INFORMATION
We may disclose personal information to:
- Spacebring Sp. z o.o., which provides our coworking management, member portal, booking, customer management, and billing software. Spacebring processes information on our behalf. Its privacy policy is available at https://www.spacebring.com/privacy/.
- Stripe, which processes card and other supported electronic payments. Stripe's privacy policy is available at https://stripe.com/privacy.
- service providers supporting email, communications, website hosting, analytics, information technology, security cameras, access control, accounting, professional advice, mail handling, and other business operations;
- your company, company manager, authorized payer, or other person responsible for your company membership or account, where appropriate;
- government agencies, courts, law enforcement, regulators, insurers, attorneys, accountants, or other parties when required by law or reasonably necessary to protect rights, safety, people, or property;
- a successor or potential successor in connection with a merger, financing, reorganization, sale of assets, or similar business transaction; and
- other parties at your direction or with your consent.
Service providers are permitted to use personal information only for the services they provide to us, subject to their agreements and applicable law.
5. SALE OR SHARING OF PERSONAL INFORMATION
ZworkSpace does not sell personal information for money. We do not knowingly sell or share personal information for cross-context behavioral advertising. If our practices change, we will update this policy and provide any notices or choices required by law.
6. PAYMENTS
Payment information is submitted to and processed by Stripe or another payment provider identified at checkout. ZworkSpace generally receives transaction details and limited card information rather than the full payment-card number. Payment providers process information under their own privacy policies and security standards.
7. COOKIES AND ONLINE TRACKING
Our websites and service providers may use cookies and similar technologies that are necessary for authentication, security, preferences, performance, and analytics. Browser settings may allow you to block or delete cookies, but some Services may not function properly without necessary cookies.
Because there is not a universally accepted standard for browser "Do Not Track" signals, our Services may not respond to every such signal. We do not use personal information for cross-context behavioral advertising. Where required by applicable law and supported by our systems, we will honor legally recognized opt-out preference signals.
8. DATA RETENTION
We retain personal information for as long as reasonably necessary to provide the Services, maintain business and transaction records, comply with legal, tax, accounting, and regulatory obligations, resolve disputes, enforce agreements, and protect our rights and property. Retention periods vary based on the type of information and the reason it was collected. When information is no longer required, we take reasonable steps to delete, de-identify, or securely dispose of it. Certain records may be retained longer when required by law, contract, litigation hold, insurance claim, security incident, or other legitimate need.
9. DATA SECURITY
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system or method of transmission is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your account access and notifying us promptly of suspected unauthorized use.
10. YOUR PRIVACY CHOICES AND RIGHTS
You may review or update certain account information through the member portal. You may also contact us to request access to, correction of, or deletion of personal information, or to ask questions about our privacy practices. We may need to verify your identity and authority before acting on a request. Some requests may be limited or denied where information must be retained to provide Services, complete transactions, comply with law, protect security, or establish or defend legal claims.
Depending on your residence and applicable law, you may have additional rights concerning access, correction, deletion, portability, limitation, objection, or information about our collection and disclosure practices. Where applicable, you may use an authorized agent, and we will not discriminate against you for exercising a privacy right.

11. CALIFORNIA PRIVACY NOTICE
California residents may request information about the categories and specific pieces of personal information we have collected about them, the sources and purposes of collection, and the categories of recipients to whom information was disclosed, subject to applicable law and exceptions. California residents may also request correction or deletion of eligible information.
The California Consumer Privacy Act applies only to businesses meeting statutory thresholds. Whether or not ZworkSpace is subject to every provision of that law, we will review reasonable verified privacy requests and respond as required by applicable law.
12. CHILDREN'S PRIVACY
Our online Services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information online from children under 13 without appropriate authorization. If you believe a child has provided personal information to us improperly, please contact us.
13. INTERNATIONAL PROCESSING
Some service providers, including Spacebring, may process information in the United States, the European Economic Area, or other jurisdictions. Privacy and data-protection laws may differ from those in your location. We use service providers and contractual arrangements intended to protect information as required by applicable law.
14. THIRD-PARTY SERVICES AND LINKS
Our Services may contain links to third-party websites or services. Their privacy practices are governed by their own policies, and ZworkSpace is not responsible for their content or privacy practices.
15. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. We will post the updated policy and revise the effective date. When required, we will provide additional notice or request renewed consent. Continued use of the Services after an update is subject to applicable law and our notice and consent procedures.
